A free wedding seating chart and table planner
Working out who sits where is one of the fiddliest parts of wedding planning. This free wedding seating chart tool lets you lay out your tables, import your guest list, and seat everyone with a simple drag, right in your browser. There is nothing to install and no sign up needed to use it. It was built by Steven Heyns, a KZN wedding DJ with more than 20 years and over 1000 receptions behind the decks.
Add round, oval, long, square or head tables, set how many seats each one has, then drag guests from your list onto the seats. You can rotate and resize tables to match your venue floor plan, and everything saves automatically in your browser so you can pick up where you left off.
Seat whole families and friend groups together
Import your guest list from a CSV or Excel file with a Household column, and the planner can auto-seat guests so families and friend groups stay together, each household shown in its own colour. It even builds the tables for you if you do not have enough. When you are done, export your seating chart to Excel with every guest and their table number, ready to share with your venue and caterer.
Wedding seating chart FAQs
Is the wedding seating planner free?
Yes. The seating planner is completely free to use with nothing to sign up for. Your plan saves in your browser automatically. If you want to save it online and open it on any device, you can create a free account.
Do I need to create an account?
No. You can build your whole seating chart, import guests and export to Excel without an account. Signing in only adds an online copy of your project so it is not tied to one browser.
Can I import my guest list from Excel?
Yes. Upload a CSV or Excel file and match your columns to Name, Household and Table. You can download a sample template from the import panel to see the format.
Can it seat families and groups together automatically?
Yes. Add a Household or Group column to your guest list and use Auto-seat guests. The planner keeps each household together at a table and gives every group its own colour, so you can see the arrangement at a glance.
How many guests should I seat per table?
As a rough guide, round tables usually seat 8 to 10, and long banquet tables seat 8 to 12 or more depending on their length. The planner lets you set the number of seats per table, so you can match whatever your venue provides.
Can I export the seating chart?
Yes. Export to Excel produces a sheet with every guest and their assigned table number, perfect for sharing with your venue, caterer and stationery designer.
